Shared spending
Tracking spending with a partner or household works best when everyone sees the same transactions and uses the same tags. In Dollar Diary, you share a workspace: one set of transactions, tags, budgets, and saved queries that every member works from.
Each person can connect their own bank accounts, review the purchases they made, and tag who each purchase was for. Your shared dashboard, budgets, and queries then cover the whole household instead of one person’s cards.
Share one workspace
Invite members by email from the Members tab in Settings. A workspace holds up to 10 members, including you. Members join with their own Google sign-in, so nobody shares a password.
Everyone in the workspace sees the same transactions, tags, budgets, and saved queries. Your theme and other preferences stay your own. The owner’s subscription covers every workspace they own, so sharing a workspace does not cost extra.
Choose who can edit
Invite each member as an Editor or a Viewer:
- Editors review and tag transactions, split purchases, and manage tags, budgets, and saved queries.
- Viewers have read-only access to transactions, the dashboard, budgets, and queries. They can connect their own bank accounts, but cannot change shared data.
As the owner, you can change a member’s access or remove them at any time. Members can leave a workspace whenever they want.
Connect your own bank accounts
Each member connects their own bank accounts and attaches them to the shared workspace. Transactions from every attached account land in the same place, so a household with separate cards still gets one complete view.
A bank connection stays yours. Nobody else sees your bank login, and only you can reconnect or revoke the bank authorization. Editors can sync an attached account or remove it from the workspace; removing it does not disconnect your bank. Prefer not to connect a bank? Add transactions by hand or import a CSV instead.
Tag who each purchase was for
Shared spending is rarely all shared. The default Spent For group includes Myself, Myself + Olivia, and Olivia; rename them to the people in your household. Then tag each purchase with who it was for:
- Groceries for the two of you: Myself + Olivia.
- A birthday gift from you to your partner: Olivia.
- A gym membership only you use: Myself.
Now you can see how much went to shared life versus each person, filter the dashboard to one person’s spending, or build a budget for shared groceries alone. Each transaction also shows which member added, marked, or split it, so you can tell who reviewed what.

Keep some spending separate
Sharing one workspace does not mean sharing everything. You can own up to 3 workspaces, so keep a personal workspace for spending you track on your own and attach only the accounts you want in each one.
Any member can also duplicate a shared workspace into an independent copy they own. The copy includes the transactions, tags, budgets, and saved queries, plus the member’s own bank accounts. The original workspace stays as it was.
